Booking Conditions

(Travel and Security Services Terms)

1. Introduction

These Booking Conditions apply to all services provided or arranged by PROTECTIVE TRAVELS® (“we”, “us”, “our”) for private and corporate clients.

By requesting, confirming, or proceeding with any service through PROTECTIVE TRAVELS®, you confirm that you have read, understood, and accepted these Booking Conditions, together with any additional service-specific agreements, statements of work, tasking instructions, or written confirmations issued by us.

2. Data Protection and Privacy

PROTECTIVE TRAVELS® processes personal data in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Details of how personal data is collected, used, shared, transferred, and protected are set out in our Privacy Policy, which forms part of these Booking Conditions and is available on our website or upon request.

By proceeding with a booking or service engagement, clients acknowledge that personal data may be shared with relevant third parties where necessary to deliver services, strictly in accordance with our Privacy Policy.

3. Our Role

PROTECTIVE TRAVELS® operates in a dual capacity, depending on the nature of the services provided.

3.1 Travel Services

For travel-related services, PROTECTIVE TRAVELS® acts as a travel agent and coordinator, arranging services on behalf of clients with third-party suppliers. These may include, but are not limited to, airlines, hotels, private villas, alpine chalets, aviation providers, transport operators, chauffeur services, yacht operators, and activity providers.

Unless expressly agreed in writing, PROTECTIVE TRAVELS® does not act as the principal supplier of travel services.

3.2 Security and Risk Services

For security, risk management, and protective services, PROTECTIVE TRAVELS® acts as a direct service provider.

These services are delivered by PROTECTIVE TRAVELS® using its own personnel and vetted operatives and are planned, coordinated, and managed directly by the company. Responsibility for the delivery of such services rests with PROTECTIVE TRAVELS® in accordance with the agreed scope of work.

Where security services are provided, separate service agreements, tasking instructions, or statements of work may apply in addition to these Booking Conditions.

4. Supplier Terms and Conditions

All travel services arranged through PROTECTIVE TRAVELS® are subject to the terms and conditions of the relevant third-party suppliers, which may include cancellation penalties, amendment fees, restrictions, or non-refundable elements.

Supplier terms apply in addition to these Booking Conditions. It is the client’s responsibility to review and accept applicable supplier terms once provided.

5. Pricing and Availability

All prices are subject to availability at the time of booking and may change until confirmed.

Prices may be affected by factors outside our control, including exchange rate fluctuations, supplier pricing changes, fuel surcharges, taxes, or regulatory changes.

PROTECTIVE TRAVELS® will act in good faith to secure favourable terms at the time of booking but cannot guarantee price stability prior to confirmation.

6. Payments

Deposits or full payment may be required to secure services, depending on supplier requirements or the nature of the services provided.

Final balances must be paid by the deadlines specified. Failure to make payment on time may result in cancellation of services, loss of deposit, or additional charges imposed by suppliers.

Unless otherwise stated in writing:

  • Payments for travel services are subject to supplier cancellation policies

  • Payments for security services are governed by the relevant service agreement or statement of work

7. Amendments and Cancellations

Client-requested changes or cancellations may incur charges imposed by suppliers and, where applicable, reasonable administrative fees.

Certain bookings may be non-changeable or non-refundable. Where this applies, it will be communicated in advance, and acceptance remains the responsibility of the client.

In the event of force majeure, operational disruption, or supplier-initiated changes, PROTECTIVE TRAVELS® will use reasonable efforts to assist but cannot guarantee outcomes beyond supplier policies or circumstances outside our control.

8. Liability

8.1 Travel Services

In relation to travel services arranged as an agent, PROTECTIVE TRAVELS® is not responsible for the acts, omissions, or failures of third-party suppliers.

Our responsibility is limited to arranging services with reasonable care and skill. We do not accept liability for loss, injury, delay, damage, or expense arising from supplier failure, force majeure, or circumstances beyond our control.

8.2 Security and Risk Services

For security and risk services provided directly by PROTECTIVE TRAVELS®, liability is governed by the relevant service agreement, statement of work, or tasking documentation.

Nothing in these Booking Conditions limits or excludes liability where such limitation or exclusion would be unlawful.

Clients are strongly advised to maintain appropriate insurance coverage, including travel insurance and any additional cover relevant to the nature of the services provided.

9. Travel Documentation and Compliance

Clients are responsible for ensuring that all travel documentation is valid, accurate, and compliant, including passports, visas, health requirements, vaccinations, and entry regulations.

PROTECTIVE TRAVELS® is not liable for disruption, loss, or expense arising from incomplete, inaccurate, or invalid documentation.

10. Security and Risk Considerations

Travel arrangements may be influenced by security assessments or risk advice provided by PROTECTIVE TRAVELS®. However, unless otherwise contractually agreed, final travel decisions remain the responsibility of the client.

Security advice does not constitute a guarantee of safety.

11. Package Travel Regulations

Unless explicitly stated in writing, services arranged by PROTECTIVE TRAVELS® are not sold as regulated package holidays under the Package Travel and Linked Travel Arrangements Regulations 2018.

Clients acknowledge that statutory protections applicable to consumer package holidays may not apply.

12. Complaints

Any concerns or complaints should be raised as soon as practicable to allow effective resolution.

13. Governing Law and Jurisdiction

These Booking Conditions are governed by the laws of England and Wales.

Any dispute arising in connection with these Booking Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
